Hi,

My client keeps getting the following error and they keep changing their passwords and they also have updated antivirus on all their user's computers

Domain abcdfg.com has exceeded the max emails per hour (500/500
(100%)) allowed. Message discarded.

I spend so much time troubleshooting every other day with the host company. The only solution they give me is to change passwords and clean infected computers.

Is there a more permanent solution?

Its possible for this to happen when your clients computers are infected with viruses or malware that my be sending unmonitored emails. Highly possible if your clients using windows os with outlook. And 500 is the maximum amount of emails per hour on shared hosting. Most shared hosts does not allow beyond it.

If it is VPS then you can expect around 1k mails per hour. Not beyond it. Also you need to find out if your client is doing mass mailing or is it due to infected computers or outlook client. If they are mass mailing, get ready to be blacklisted by most ISPs.

Permanent solution, if your client have budget, migrate them to Gsuite or Zoho or office 365.

Zoho - 25 users free , each user get 5gb mailbox.
Gsuite - They have plans check out
Office365 - I am not much aware on pricing, but some enterprise clients are using it as they use other MS products.

If you are client not ready to switch to hosted email, then as said above, troubleshoot and find out what is issue. Your client should tell honeslty, if they are mass mailing or not.

Hope this helps you, thanks.

The host should be able to tell you exactly what file this mail is sending from. Then, if you delete this file and it re-appears the next day then you know the customers account has a vulnerable site/script they are running and it needs to be updated or fixed.
